PM Central or Project Server 2007 – What To Buy?

Several customers have asked us how does PM Central stack up against Project Server 2007 In answer to this frequently asked question, we would like to ask that you compare your requirements to the following set of questions, as doing so will help determine your Project Management maturity level and allow for a comparison based on your Project Management Process and its requirements.  If, however, you have already completed a list of requirements for a Project Management Information System (PMIS) and are now comparing the features, the feature matrix at the end of this post will provide the quickest and most efficient means to determine what’s best for your environment.

Do you need:

  1.  A Web-based solution/repository for project information with built-in access controls?
  2.  Ease of collaboration and centralized repository of project artifacts and discussions?
  3.  Centralized document management  (with standard templates ) with granular permissions?
  4.  A Web-based view of project portfolio with automated data aggregation and dashboards?
  5.  Tracking for individual tasks and actual work in addition to the project schedules?
  6.  Standardized project workspace (site) templates?
  7.  Standardized project metrics?

If you answered "yes" to all of the above, then PM Central would be a good match for your PMO Process’ requirements, as it will give you a centralized portal (a site collection for each portfolio) with easy to use features, custom settings for navigation, event announcements, and document management - integrated between the portfolio level and the individual projects.  It’s a match between your PMO processes and PM Central.

If your PMIS requirements are to mainly track your team members’ time as well as track projects (tasks/costs/schedules/budgets), with Web-based collaboration as a lower priority, then you may need Project Server 2007.  Even though Project Server 2007 is built on top of WSS 3.0, it’s light on project workspace and Web-based collaboration functionality.  Currently, the project schedule does not sync with the SharePoint Tasks list and  Project Server 2007 users are required to also use MS Professional Project to create and modify the project schedule.

Of course, if your budget allows you to afford both products, why not go for both?  If you're leaning in this direction, you should know that PM Central will soon be integrated with Project Server 2007 where you can export data from PS2007 to another MOSS or WSS farm.

I understand you need to sell your product but there are significant inaccuracies and weasel words in the comparison table.

Ease of Use: This is obviously subjective so somewhat 'weasel-like'. To clarify, Project Server is not geared towards project managers, it's designed for use by the entire project team. It is easy to fill out task updates and timesheets as a team member and the interface is very straight-forward.

Pre-built custom site templates: All projects have a workspace associated - do you mean that Project Server comes with just one? Also, Project Server administrators can create their own completely customised templates so this is somewhat moot.

Rollup items: Project Server has partial support where it can roll up counts of issues, risks, etc. It also has a web part that shows users what issues/risks they have assigned to them. With MOSS also installed, complete support is provided for rollups.

Customizable top level and project level: The top level can be customized with whatever web parts are required. The project level can also be customized with web parts, themes, etc. just like a standard WSS site.

Custom Tabs and Menu for the top level site and project site: Again incorrect. Project Server does this out of the box!

Document Management: This again seems 'weasel-like'. Project Server provides the same document management functionality as WSS (that it is based on). The only thing missing is the tree view.

Search within a SharePoint list: Results from SharePoint lists are returned when using Project Server. I don't have WSS available to me for checking if it can search a specific list or if MOSS is required for that.

Grid View and Inline Editing: While missing for tasks, this is certainly possible for issues and risks. A Datasheet view needs to be created.

Up to this point I have really respected Bamboo. This post is a major let-down.

Hi Alex,

Thank you for taking your time to provide feedback, we really appreciate it.  We do think highly of Project Server as an application for PMP, and it does provide a very fine system for project management.  Where we disagree is in the ability for “non-techie” functional users to quickly get the system up and running out of the box - even if SharePoint is used as the collaboration front end.  We think that anyone can certainly customize PS to provide an easy to use system, just that it often requires a fairly major effort from SP developers.

I do want to respond to several of your points individually:

Regarding "Ease of Use"

As you  suggest, "ease of use is a subjective issue, and reasonable people might disagree.  As a certified PMP, with many years of experience managing teams in a Project Server environment, I would tell you that ease of use and complexity of the user experience has consistently been an issue with my team members.  Our design philosophy in architecting PM Central was to create a tool that virtually any end user could interact with comfortably with limited training or introduction.  Regardless of your personal evaluation of Project Server’s “ease of use”, Bamboo is committed to simplicity and usability as a primary design principle for our project management solution.

Regarding Custom Site Templates

Sure, with Project Server, administrators can create and customize their own templates to fit the needs of their organization.  My point is that “out-of-the-box” SharePoint templates generally lack all of the features and functionality project managers need.  We hear this feedback constantly from other Bamboo customers.  By Comparison, PM Central offers a much more robust workspace fully optimized for project teams.  PM Central is designed for people and teams who either don’t have the time or inclination to spend designing a project management site template.  PM Central is packed with features like resource management, rollups of tasks, risks & issues from across multiple projects, dashboards with KPI’s etc. etc.  

Additionally, PM Central offers the advantage that you don’t need a SharePoint administrator or developer to create and customize the project site.  Anyone with rights can create a full featured project site that already has all of these key features.

Regarding Rollup Items

PM Central’s rollup capabilities are powered by Bamboo’s List Rollup Web Part, the premier data aggregation solution for SharePoint.  This functionality is available whether you’re running WSS or MOSS.  Frankly I think you are over-representing the native rollup capabilities of Project Server, but regardless, PM Central offers the most powerful rollup engine in the marketplace, and you don’t need MOSS to run it.

Regarding Document Management & Tree View

The feedback we hear from project teams is that tree view is a critical capability of PM Central’s document management capabilities.  This view provides a logical hierarchy that dramatically improves findability of key project artifacts.  

Regarding Search within a SharePoint List

PM Central’s built in list search capabilities are powered by Bamboo’s List Search Web Part, another perennial best seller at Bamboo.  Again, it works with WSS or MOSS.  We have found that conveniently providing project teams with the built-in ability to search a specific list of tasks, issues, risks etc. is very much appreciated, and offers significant efficiencies compared to other options.

Regarding Grid View and In-Line Editing

PM Central’s inline editing capabilities include tasks, issues and risks.  Again these capabilities are available regardless of whether you’re running WSS or MOSS.  With PM Central, you don’t need to create a data view, no extra configuration or design is required.  Again, it’s all about simplicity, convenience and ease of use.

Again, we’re not bashing Project Server or claiming that there aren’t other ways to accomplish all of the functionality that’s possible with PM Central.  We are confident that PM Central provides a robust set of features that project teams need and appreciate.  We’ve done our best to make these features easy to deploy and easy to use, regardless of whether you’re using WSS or MOSS.  

We appreciate your detailed feedback, and are definitely interested in hearing about additional features you would find valuable in PM Central or any of Bamboo’s products designed for SharePoint project managers.
