Manage Users and Groups in SharePoint Workflows with Workflow Conductor User Provisioning Widgets

The IT and administrative tasks associated with adding a new employee, moving someone from one department to another, or even just adding new responsibilities can be tedious and time-consuming. There might be a new computer, or a phone extension move; a million things for HR and IT to do; and there will definitely be new accounts and group membership updates. What a perfect opportunity for a SharePoint workflow...and Workflow Conductor gives you all the tools you need to automate the user provisioning process.

New Workflow Conductor User Provisioning Widgets

You have already read that Workflow Conductor 1.5 works across site collections. You're not worried about your workflow having the necessary permissions for all these tasks, because you know that Conductor Widgets can impersonate other users. To extend your workflow's reach beyond SharePoint, the latest release of Workflow Conductor includes several new user provisioning Widgets:

  • Create AD Account - Add a new user account to Active Directory, and even auto-generate a secure password. Perfect for automating the new employee intake process.
  • Add User to AD Group - Automate AD group membership updates so users always have the rights they need to do their job.
  • Add User to SharePoint Group - Need to update SharePoint group memberships to keep up with changing responsibilities? No problem! There's a Widget for that.
  • Disable AD Account - Even the best employees sometimes move on. Why not create a workflow to handle the scenario? First step: disable an account that is no longer needed.

To make things even easier for workflow designers who might not be up on all the latest Active Directory configuration, Workflow Conductor lets administrators pre-configure Active Directory paths and new account options for user provisioning Widgets. Keep an eye out for the next article in the Workflow Conductor 1.5 feature blog series for more information.

Bonus Widget - Access User Profile Information in a Workflow

While we were creating all these user and group management Widgets, we thought you might also be curious about information stored in the SharePoint User Profile. The new Get User Info Widget lets you retrieve a property from the WSS or MOSS User Profile - properly security-trimmed, of course - and store it to a workflow variable for later use. You could branch your workflow, set conditions for other Widgets, e-mail the information to someone, or write it to a list.

These are just the first in a series of user and group management Widgets that Bamboo will be releasing for Workflow Conductor. Add user and group management to your SharePoint workflows today with a free 30-day trial of Workflow Conductor. Want to learn more about the new Workflow Conductor 1.5 features?
